Setting up the Knowledge Base

Hi, and welcome to this tutorial! I’ll guide you through setting up your Knowledge Base the right way. You’ll learn how to add information effectively and ensure your AI can seamlessly retrieve answers from your manually added content, website, and documents. Let’s dive in!

1. Click on Configure

Your receptionist is under the Configure tab. This is where you edit your AI Receptionist.

2. Click on Receptionist

Once you click Receptionist, you will see all the Basic Settings, During Call Workflows, Real-Time Integrations, After-Call Automation, and Advanced Settings.

3. Click on Knowledge Base

The Knowledge Base is in the Basic Settings on the 3rd row under Speaking Style (AI Prompt).

4. Click on Add Text

5. For Text Knowledge Base Option

You can manually add information about your pricing, products, company, and services.

6. Click on Add

When you click "Add," the AI will use the information you added in its calls. Provide detailed information to ensure callers get all the answers they need.

You will now see the option to view the information you created on the list of knowledge bases.

In case you've updated your prices, services, and etc. You will still have the option to edit the Knowledge base by clicking the pencil icon.

9. Click on Save

Once you've updated your knowledge base, click on save, and the information for the knowledge base will be updated.

10. Click on Add Website URL

You will have the option to add your website link and AI will use it as part of the knowledge base.

You have the option to select these options:
1. Only direct links from the main webpage.
2. Include links from sub-webpage (recommended)
3. Deep crawl (May take longer)

"We suggest using the 2nd option as it would include the information from the clickable links on your website."

12. Selecting the URLs to add, updating the Frequency, and instructing AI what links to ignore and highlight

You can select the URLs AI will be fetching the data from. You will see the links under "Found URLs"

Select how often you would like your AI to update its information. You can have the option to select No-update, daily, weekly, every 10 days, and very 2 weeks.

Transform Instructions will help you highlight the most important details you'd like AI to use and ignore details that are usually not brought up during a customer call.

13. Click on Add

Once you've clicked add, it will be processed within a few minutes.

14. Processing

The AI is working on generating relevant data from your website. It usually takes 3-5 minutes depending on the amount of data. You'll be able to see it on the knowledge base list once the process is complete. You can refresh the page to check the status.

15. Upload Document

You can also upload your document as a form of knowledge base. You can upload a total of 4 documents with a word limit of 10,000. It can only be a PDF, DOCX, or TXT file.

This screen will show up once you've selected your file.

Click the eye icon to view the information on the uploaded file.

Now you can see all the content of the files you've uploaded.
